Share folders and folderish-type documents from the navigation

Athento allows you to share folders and folderish documents from the navigation of a space.

To do this, the "Allow folder sharing" check must be activated from the space administration.

To share, go to the document navigation and, by clicking on the available options for a folder or folderish document, you will find the "Share" option with the label BETA.

Clicking on it will open a modal where you can enter several data:

• Emails: Required. Emails of the users with whom you want to share a folder.
• Comment: Optional. Comment to be included in the e-mail notification.
• Permission: Required. Indicates if the user will be given read or write permission.

Once the data has been filled in, the "Share" button must be clicked, a notification will be sent by e-mail to the specified users and they will be able to access the folder from a link in the e-mail itself, and they will also see the folder in the navigation.

Viewing external users with whom the folder has been shared

In the folder sharing mode itself, there is the possibility to see with which external users the folder has been shared.

By clicking we can see those external users with whom the folder was shared and what permissions were granted.

Also, you can remove the permission for a user by clicking the trash can button next to it.

Document navigation view for guest users

When a folder is shared, users will receive an email. This email contains a button that, if clicked, will direct the user to the navigation to view the contents of the folder.

If the user has been granted write permissions on the folder, the "Add document" button will be enabled and he/she will be able to upload a new document to the folder.

By clicking on the icon in the sidebar you can go to the root navigation and see all the folders that have been shared with you.

Document view

When you click on a document, it will open in a new tab showing both the document and its associated fields.

If the user has been granted write permissions, he/she will be able to edit all the fields. On the other hand, if the permission granted is read permission, the user will only be able to view the document and the contents of the fields, but these will be disabled for editing.

To download the document just click on the download button that appears in this view.

Users not existing in the team

If the user to whom you want to share the folder does not exist in the team, a new user will be automatically created with his or her email address.

For new users, the invitation to the team will be attached together with the invitation to the shared folder.
