Athento can generate barcodes (PDF417) and QR codes:
Basically, what the software does is export the document metadata in the form of QR codes or barcodes. What is this good for? Here are some use cases:
- Entry Record: When we require, for example, that someone takes a copy of the document to prove that a procedure has been initiated or that an invoice has been received that must be paid, it is possible to print the barcode on the copy that is given to the applicant (directly on the document or as a sticker). In this barcode we can include the date and time of receipt and other data that we want to include.
- Deferred digitization of documents: For example, we want to associate documentation from the same file received at different times. Or we want to create the document record in the system, but the documents are digitized in a centralized process that requires a massive upload of documents to the system.
In the case of this second of item 2, the process would work as follows:
- The document is created in the system without having its content digitized.
- Managers can quickly enter document metadata manually.
- The system will generate a QR code that will be printed as a sticker and pasted on the paper document. This code will contain an identifying number of the document.
- The documents will be scanned unattended and using the QR code, the system will match the document created in the system with its newly scanned digital content.
