Making changes to the process or implemented configurations is a natural and common occurrence in projects. Often, once users start testing the process, they realize that some exceptions or situations had not been contemplated. Then the need to make changes arises.
Testing and the use of the product by end users provide feedback that is impossible to obtain in any other way, so if your project requires a change of scope, don't worry, it is a normal situation and there is a procedure to manage it.
Scope changes forecast (for closed projects)
Athento's offers include a percentage to allow us to execute changes in an agile manner. Normally, this percentage is 10% of the estimated hours of the project or professional services.
These reserve hours allow you to make the changes without having to go through a bid and budget approval process.
In the case of projects with a high level of risk or uncertainty, your salesperson can increase this percentage to cover possible unforeseen events.
Is it compulsory to contract the scope change forecast?
No, it is not mandatory, but in case you do not have them, Athento will not be able to make any changes without a previously approved budget, which can delay the time of your project.
What happens if the change exceeds the forecast?
In this case, the project team will inform you and the missing hours will have to be managed using an economic offer.
What happens if there are no scope changes?
In this case, you will be able to use the remaining hours for another request you want to make to the project team.
How to proceed with a change of scope?
According to Athento's project methodology, any change to an initial requirement must be technically assessed by Athento.
Scope changes may affect:
- The planning of the project
- Project costs.
Normally, the product team uses the Monday tool for project planning. When it is detected that functionality is not in the contracted scope, it is marked with a "scope change" label, the client has access to the dashboard where the project control is kept and at any time can consult these detected changes, Athento will not proceed to carry out these activities without the prior consent of the client.
Changes of scope in projects of bags of hours
If you have contracted a bag of hours, the management procedure is the same: the project team will inform you of the estimated changes and once you approve them, the hours will be deducted from your bag or package of hours.
