How to set a bundle of automation task to be executed over a batch of documents?

You can run on-demand batch automation tasks on documents from the Admin Tool Box.

From here you will be able to create Bulk works or massive jobs that will be applied to the documents that meet certain criteria.

Step 1. Create a Bulk work

To create a Bulk work go to the Admin Tool Box. Once there, click on the "New Bulk Operation" button.

In the dialog box, type the name you want to give to the Bulk work and click on save.

Once the Bulk work is created, you will access its configuration

Step 2. Configure the Bulk work

2.1 Configuring the document filter

First, you need to configure the filter that will select the documents on which the set of operations or automation will be performed. You can configure the filter in the same way as you do when using the advanced search. How does the advanced search work?

To check the filter results, use the "Preview documents" button.

2.2 Setting up the automation tasks and the execution order

To configure the operations or automation tasks, you must first choose the spaces in which the operations you want to execute are located.

Next, pick the operation you want to use from the selector. There will only be shown the automation tasks enabled in the selected spaces.

If you need to apply several automation tasks at the same time, add them by clicking on the "Add operation" button. The operations will be executed in descending order, just as they are displayed.

Once you have configured the operations, click on save.

Step 3. Schedule the bulk work for execution

3.1 Test the Bulk work

It is possible to test the set of operations configured by clicking on "Test execution". The tests will run the automation tasks on two sample documents.

The two documents on which the set of operations will be tested are displayed in the dialog box. Confirm the execution by clicking the button.

You can click on the documents to open them.

3.2 Schedule the bulk work for execution

Once the configuration and tests have been completed, use the "Schedule run" button to run the Bulk work.

Note that the operations will not start executing immediately, there is a process that is activated periodically and is in charge of executing them. You can check its status from the Admin Tool Box.

Pause the bulk work

The scheduled execution can be paused at any time.

If the set of operations is not being executed, it will simply exit the execution queue.

If the set of operations is currently being executed, the process will be interrupted, in which case a warning will be given that the operations are currently being executed.
